Who we are
MyEventsInMotion is operated by My Original Thinking Ltd, registered at 61 Stevens Rd, Eastleigh, Hampshire, SO50 9RH (“we”, “us”). General contact: hello@myeventsinmotion.com.
Two kinds of people
- Hosts are couples who buy the service and sign in to an account.
- Guests upload photos and videos using a QR code and an event code. Guests do not need an account.
Hosts: what we collect and why
- Your name and email address, and your sign-in method (email and password, or a sign-in provider such as Google; Apple and Facebook may be added).
- Your event details (such as the couple’s names, date, venue and times) so we can run your event.
- Payment is taken by card through Stripe. We do not store your card details.
We use this information to provide the service, sign you in, and contact you about your event.
Hosts may give us the name and email address of the event’s primary contact and of up to 3 other people to receive updates about the event. The host is responsible for having those people’s agreement. They can unsubscribe at any time, and this data is deleted with the event.
Sign in with Google
If you choose to sign in with Google, we receive only your name, email address and profile picture (the openid, email and profile scopes). We store your name and email address; we receive the profile picture but do not store it. We use this data only to sign you in and to contact you about your event. We never sell it and never use it for advertising. We do not allow people to read this data except with your consent, for security, or to comply with the law.
MyEventsInMotion’s use and transfer of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
Guests: what we collect and why
- The display name you enter.
- The photos and videos you upload.
- Device and session data needed to run the upload (for example to resume it and skip duplicates).
- A record that you accepted the guest notice, and when.
Who is responsible for guest content
For photos and videos uploaded by guests, the host is the controller and we are the processor: we handle that content on the host’s behalf and on their instructions. For our own account, billing and security data about hosts, we are the controller.
Viewing and deleting your uploads
Guests can view and delete their own uploads at go.myeventsinmotion.com/remove for the whole retention period. If you appear in someone else’s upload and want it removed, email privacy@myeventsinmotion.com. We remove the content, re-make any affected films without it, and tell the host. Please include the event, which item, and why you want it removed. Guests can also report content from within the upload experience.
Automated processing
Videos and the highlight film are produced automatically, with review by our operators. Uploads are automatically screened and may be excluded from films or hidden; this has no legal or similarly significant effect on anyone. As part of this, software detects faces in footage to help choose and frame clips. It does not recognise or identify anyone, and we do not do biometric identification.
Children
Children may appear in event footage. We ask hosts and guests not to upload people who would not want them shared. Hosts can choose “no children in the montage” for their event. To have anything removed, use the routes above.
Where data is stored, and who helps us
Guest media and event data are stored and processed in the EU (Ireland, eu-west-1). Our processors are:
- Amazon Web Services (hosting, storage, sign-in, email, and image and speech analysis using Rekognition and Transcribe)
- Anthropic (Claude, accessed through Amazon Web Services with EU processing) for AI analysis and editing of uploads
- Stripe (card payments)
- A licensed-music provider (name to be confirmed). It supplies music only and receives no personal data.
Stripe and Google may process data outside the UK and EEA. Where they do, they rely on adequacy decisions (for example the EU-US Data Privacy Framework) or standard contractual clauses.
Lawful basis
- Host data: contract (to provide the service you bought).
- Security and fraud prevention: legitimate interests.
- Billing records: legal obligation.
- Guest content: the host decides why and how it is processed, as controller. We process it on their instructions.
How long we keep data
- Original uploads and the ZIP download: 365 days after the event, then deleted.
- Finished films: 2 years.
- Temporary working files: deleted after 14 days.
- Host account data: as long as your account is open. Billing records: as required by law.
We remind hosts before deletion. If a host deletes their account, we delete their events’ data under these retention rules.
Your rights
Under UK and EU GDPR you have the right to access, rectify, erase, restrict or object to our use of your data, and to receive it in a portable form. To use these rights, email privacy@myeventsinmotion.com. For guest content we may pass your request to the host, who is the controller. You may also complain to a supervisory authority, such as the UK Information Commissioner’s Office (ico.org.uk).
Cookies
We use no analytics, advertising or tracking cookies or tools. The host portal keeps a sign-in token in your browser’s local or session storage. The sign-in page (Amazon Cognito, and Google if you choose it) sets strictly necessary cookies. For guests we store only what is needed to run your upload session.
